Legal Hold Microsoft Teams

To keep message content in private channels, you must remember user mailboxes (members of a private channel). If you use the eDiscovery tool to search for messages through private channels, you must search the user`s mailbox. As mentioned earlier, private channel conversations are stored in users` mailboxes, not in the group mailbox associated with the parent team. You can place a mailbox on litigation hold to preserve all the contents of the mailbox, including deleted items and the original versions of changed items. When you place a user mailbox on litigation hold, the contents of the user`s archive mailbox (if enabled) are also preserved. When you create a hold, you can specify a retention period (also known as time-based retention) so that deleted and changed items are retained for a specified period of time and then permanently deleted from the mailbox. Or, you can simply keep the content indefinitely (known as infinite locking) or until the case suspension is lifted. If you specify a retention period, it is calculated from the date a message is received or a mailbox item is created. Here`s what happens when you create a litigation hold.

On the Litigation Suspension flyout page, click Save Changes to create the archive. Name your holdback. Choose a descriptive and unique name for the store you want to create. A value of True indicates that the mailbox is pending for litigation/ Note: You can also hold a user associated with an Extended eDiscovery case. To place an Exchange Online mailbox on litigation hold, it must be assigned an Exchange Online Plan 2 license. If a mailbox is assigned an Exchange Online Plan 1 license, you must assign it a separate Exchange Online archive license to retain it. As organizations increasingly use Microsoft Teams for web and video conferencing, team chat and collaboration, organizations need to engage Teams as part of an eDiscovery search and litigation retention process. To legally suspend a user or team, you must access Core eDiscovery in the Compliance admin center. The license for Core eDiscovery requires the appropriate organizational subscription and per-user license, which Microsoft defines in its documentation as follows: Legal suspensions are useful for retaining information in the event of future disputes. This can be applied to data in Microsoft Teams such as private chats, channel conversations, etc. You can select specific users or even put an entire team on hold. When an entire team is put on hold, all messages exchanged within that team, including private channels, can be recognized by the organization`s administrators or compliance officers. While content search, eDiscovery, and curation work the same way as searching and saving email, in Teams it`s a little harder to determine „where” a user posted, saved, commented, and saved information. Unlike email, which resides in „a mailbox,” a user is likely to have content in multiple private and group chat and file banks that needs to be processed. On the Manage Litigation Hold flyout page, select the Enable litigation retention check box, and then enter the following optional information: The native legal retention feature provided by Microsoft greatly simplifies the eDiscovery process for disputes.

However, they are not designed for backup and recovery purposes and therefore have serious limitations as a backup solution. Third-party cloud backup apps like SysCloud are better options for backing up your Microsoft 365 data. When a store associated with an eDiscovery case is placed on a mailbox, the deleted items are moved from the Deletes subfolder to the DiscoveryHolds subfolder and retained until the mailbox is released from the eDiscovery store. Go to the Hold tab in the top menu and click Create to create a hold. When you put a user or team on hold, all messages exchanged by those users are retained. When you create an incident, you will see the option to place mailboxes or sites in the archive. For Office 365 Education organizations, litigation retention is supported in Office 365 A1 subscriptions that include an Exchange Online Plan 2 license with additional features. For more information, see the „Exchange Online features” section in the Office 365 Education service description. Note visible to the user: Use this field to inform the user that their mailbox is on litigation hold. The hint appears on the Account Information page in the user`s mailbox if the user is using Outlook 2010 or later. To access this page, users can click File in Outlook. Per-user licenses: To configure an eDiscovery store for mailboxes and sites, a user must be assigned one of the following licenses, depending on your organization`s subscription: The following figure shows the subfolders in the Recoverable Items folders and the archive expiration process.

At this point, further steps can be taken to export the content or use Advanced eDiscovery to prepare a more detailed search if necessary. Note: If the team is deleted, the content is still pending and ready to be displayed.
